1. Segment before you send anything
Blasting every lapsed patient with the same message is how you get ignored. Before you write a single word, split your list into at least two buckets:
- 6–12 months overdue — these people just need a nudge; keep the tone casual.
- 12+ months overdue — re-introduce yourself, remind them why they loved your practice, and lower the barrier to booking.
Patients in the first bucket already feel a little guilty. Patients in the second bucket may feel embarrassed — your message needs to give them an easy on-ramp, not a lecture.
2. Lead with their name and a specific reason to come back now
Generic outreach dies in read receipts. Personalization — even one extra detail — doubles response rates. Use the patient's first name, and if you can, reference something specific: the whitening they asked about, the crown they were watching, or simply the season.
Example text:

That last question is doing a lot of work. A direct, low-stakes question is far easier to say yes to than a link to a booking portal they have to navigate themselves.
3. Use WhatsApp or SMS as your first channel — not email
Email open rates for dental practices hover around 20–30%. WhatsApp and SMS sit closer to 90%. For reactivation — where every opened message matters — you want to be where patients actually are.
Send a short, warm message first. If there's no reply in 48 hours, follow up once more with a slightly different angle (maybe mention a limited opening or a new service). Then, and only then, fall back to a phone call or email. Three touches across two channels is usually all it takes to either get a booking or confirm the patient genuinely isn't coming back.
4. Remove every possible friction from booking
You can write the perfect message and still lose the patient at the scheduling step. Make it dead simple:
- Offer two or three specific time slots in the message itself ("Tuesday at 10am or Thursday at 2pm — does either work?").
- Accept a reply of just "Tuesday" as a confirmed booking.
- Send a confirmation and a reminder automatically — no extra steps for the patient.
The more decisions you ask them to make, the more drop-off you get. Give them a short menu, not an open-ended question.
5. Set a reactivation cadence and stick to it
One campaign won't clear your lapsed list. The practices that keep their schedules full run a reactivation touchpoint every single month — rotating through lapsed patients systematically so nobody slips past 18 months without at least three attempts.
