Reactivate patients who haven't booked in 12 months
Five proven tactics to bring lapsed dental patients back to your chair — fast.
You already paid to acquire those patients. You did the exam, built the relationship, maybe even got them past a fear of the dentist. Then life got in the way — theirs and yours — and a year slipped by without a booking.
The good news: lapsed patients are your lowest-cost growth opportunity. They already trust you. They just need a reason and a nudge. Here's how to give them both, quickly.
1. Pull the list and segment it before you do anything
Don't blast every lapsed patient with the same message. Spend 30 minutes splitting your list into two buckets:
- Due for a hygiene visit — patients whose last check-up was 12–18 months ago.
- Treatment left on the table — patients who had an outstanding treatment plan (a crown, a filling, Invisalign consult) they never completed.
These two groups need different messages. The hygiene group needs a gentle health reminder. The treatment group needs to know their quote may have changed and there's an easy path to restart. Mixing the two into one generic email is why most reactivation campaigns get ignored.
2. Lead with a health reason, not a discount
The fastest way to cheapen your practice is to open with "20% off your next clean!" Patients don't think of dental care as a product to discount — they think of it as health care. Lead with that framing.
A message that works:
"Hi [Name], it's been about a year since we last saw you. We just wanted to check in — regular check-ups catch small issues before they turn into big (expensive) ones. We have a few appointments open this month if you'd like to get back on track."
Short. Personal. Focused on their wellbeing. If you want to include an incentive, bury it at the end — "and we're happy to waive the missed-appointment gap fee for returning patients this month" — rather than leading with it.
3. Use WhatsApp or SMS, not just email
Your lapsed patients are not opening your newsletter. Email open rates for healthcare hover around 20–25% — and that's on a good list. WhatsApp and SMS messages, on the other hand, get read by 90%+ of recipients within minutes.
A short, conversational WhatsApp message gets far more replies than a polished HTML email. Keep it under 160 characters for SMS, or two short paragraphs for WhatsApp. Include a direct booking link or ask them to reply "YES" to have someone call them back. Remove every possible friction point between reading the message and getting back on the books.
4. Follow up exactly once — then stop
Most practices either never follow up or follow up so many times that patients feel harassed. One follow-up, sent 5–7 days after the first message, is the sweet spot.
Your follow-up can be even shorter than the original:
"Just bumping this up in case you missed it — we still have a couple of slots open this month. Reply here or book at [link]."
If they don't respond after two touches, move them to a quarterly newsletter or a birthday message cadence. Chasing harder than twice damages your reputation and wastes your team's time.
5. Make the booking frictionless
You can write the perfect reactivation message and still lose the patient because booking is too hard. Audit your path right now:
- Online booking — can they self-schedule 24/7, or do they have to call during business hours?
- New patient forms — returning patients shouldn't have to fill out everything from scratch.
- Response time — if someone replies to your WhatsApp message at 9 p.m. and hears nothing until 10 a.m. the next day, there's a decent chance they've already moved on.
Even a simple fix — like adding a direct booking link to every outreach message — can lift your reactivation rate meaningfully. Remove the steps, fill the chairs.
Reactivating lapsed patients involves real writing, real follow-up, and real attention to timing — the kind of operational work that's easy to intend and hard to actually do when you're running a busy practice.
That's exactly the kind of task you can hand off to a Sidekyk. Message your Sidekyk on WhatsApp, share your lapsed patient list, and let it draft the outreach messages, schedule the follow-ups, and flag replies that need your personal attention — so you can stay focused on the patients already in your chair.
