Running a small tech business means you're constantly juggling client projects, deadlines, and payments that arrive in dribs and drabs. The spreadsheet you built six months ago made sense then. 1. Start with a single source of truth per client

The root problem with spreadsheets isn't the tool — it's that information gets duplicated and drifts out of sync. Instead, give each client a single running document (a Notion page, a Google Doc, even a WhatsApp thread works) that holds:

  • Project scope and agreed deliverables
  • Milestone names and due dates
  • Payment amounts tied to each milestone
  • Status: not started / in progress / done / paid

When you open that document, you should know exactly where things stand in under 30 seconds. If you can't, the document is too complicated.

2. Tie every payment to a deliverable, not a date

"Invoice due 30 days after project start" is how you end up chasing money for work the client forgot you did. Instead, anchor each payment to something tangible:

  • Deposit → contract signed and project kicked off
  • Milestone 1 payment → first deliverable reviewed and approved
  • Final payment → project files handed over / site goes live

When a client can see exactly what they're paying for at each stage, approval and payment move faster. You also have a paper trail if there's ever a dispute.

3. Use a simple status board instead of a status column

A spreadsheet status column requires you to remember to update it. A visual board makes the status obvious at a glance. Free tools like Trello or the Kanban view in Notion let you drag cards through columns:

  • Awaiting Client Feedback
  • Invoiced
  • Paid & Closed

Cards don't lie — if "Invoiced" has five cards sitting in it, you know exactly where to follow up. Keep the board to one card per project milestone, not one card per task.

4. Set automatic reminders before payments are due

The single biggest reason payments are late is that nobody reminded anyone. Your client is busy too. Build a reminder workflow before you even send the invoice:

  • 3 days before a milestone is due: send a quick heads-up message summarising what's being delivered
  • Invoice day: send the invoice with a one-line summary of what it covers
  • 7 days after invoice with no payment: send a polite nudge ("Just checking this landed okay — happy to answer any questions")

This doesn't need software. A recurring WhatsApp message, a calendar event, or a simple checklist you run weekly is enough. The habit matters more than the tool.

5. Do a weekly five-minute project audit

Pick the same time every week — Friday at 4pm, Monday morning, whatever fits — and run through three questions for every active client:

  1. Is the next deliverable on track?
  2. Is there an invoice that hasn't been paid yet? How old is it?
  3. Does the client need anything from me to unblock progress?
